Letter Writing Campaign Details for
2007 -2008 Volunteers

As described in the program participation rules, each volunteer and family must actively participate in the primary fundraising activity - the letter writing campaign
Due Date Each volunteer shall prepare 125 or more fundraising letters for the December 2, 2007 training meeting.
Donation Sources Possible sources for fundraising could include family friends, relatives, business associates, your doctor or dentist, teachers, fellow church or synagogue members, etc.
Supplies Provided The following will be provided to each volunteer at the November 4, 2007 Potluck Dinner:
  1. 125 regular No. 10 envelopes
  2. 125 return envelopes
  3. Sheets of white address labels
  4. Diskette with form letter and mail merge Word files
  5. 125 Amigos de las Americas Houston chapter brochures
Procedure The suggested procedure for preparing your letters is set out below.
  1. Enter the 125 or more full names, addresses and telephone numbers.

  2. Using mail merge program provided, produce letters (use 20 lb. Paper) address labels, and at least 250 return address labels addressed to you.

  3. Sign each letter (a personal handwritten note increases donations).

  4. Prepare 125 or more self-addressed, stamped return envelopes (the smaller envelopes), using the self-addressed return address labels.

  5. Prepare 125 or more stamped fundraising envelopes with prepared address labels and with the second set of your return address labels attached in upper left hand corner.

  6. Stuff each fundraising envelope with signed letter, a brochure, and a return envelope.

  7. Do not seal envelopes.

  8. Bring unsealed letters to the training meeting on December 2, 2007

Recordkeeping Each Volunteer must keep a personal record of all contributions and must turn in all contributions with a submittal form (in a sealed envelope with your name on it) at the next regularly scheduled training meeting.
Thank-you's Each Volunteer must send a thank you letter to each of his or her contacts who makes a contribution to the letter-writing campaign.
